INSTRUCTIONS AND TEMPLATE FOR
PREPARING A SPECIAL PROVISION

The following instructions are intended for advanced users of Microsoft Word.  For all others, detailed step by step instructions are outlined below:

Special Provision template instructions:

1. Use "Times New Roman" Font.

2. Use "SpecHead1+14PT" Font Style for the title of Special Provision in Bold, Size 14 Text.

3. Use "SpecHead2" Font Style for sub-title or articles of the Special Provision, Size 12 or smaller.

4. Use "Normal" Font Style for the body of Special Provisions, Size 12 or smaller.

5. Update Header with current revision date.

6. Update Footer at noted location with correct Item Number or "GENERAL".

7. File name example: 0999999A or 0999999AM for metric provisions.

Detailed Instructions for creating a new Special Provision using the template in Microsoft Word. 

  1. Click the Special Provision Template link at the bottom of the page
  • For Microsoft Internet Explorer users, Microsoft Word (and the template file) may launch within your browser.  If this happens, you may either work in this window or you may save the template file (using the "file/save as" command) and reopen this file in Microsoft Word. 
  • Netscape users may have difficulty opening the template file.  A (.zip) template file is also provided at the bottom of the page.  This file may unzipped using WINZIP software.  Once unzipped, follow the instructions below.
  1. Open the Special Provision Template file in Microsoft Word (if Word did not launch in step 1)
  2. Press Ctrl + End
  3. Enter desired text in Special Provision using the appropriate format
  4. Change Header and Footer data (Date and Item Number/General)

  • Click View/Header/Footer

  • Change or Delete the Revision Date at the top of the page
  • Change the Rev. Date
  • Double-click on the mm
    • Type the appropriate month
  • Double-click on the dd
    • Type the appropriate day
  • Double-click on the yy
    • Type the appropriate year
  • Delete the Rev. Date
  • Click and drag to select Rev. date text
    • Press Delete key
  • Click Switch between Header and Footer button on the Header/Footer toolbar.
  • Double-click on the word GENERAL
    • Type ITEM plus Item number (ex. ITEM #0999999A)
  • Click the word Close on Header and Footer Toolbar
  1. Remove sample text.
  • Press Ctrl + Home
  • Select sample text (by highlighting)
  • Press Delete key
  1. Find each Special Provision heading and change it to the appropriate format
  • Select desired heading (by highlighting)
  • Click Format/Style
  • Select appropriate Style (SpecHead1 should be used for Title of Special Provision and SpecHead2 should be used for Sub-Title or Article of Special Provision.)
  • Click Apply
  • Repeat for each heading
  1. Click File/Save As
  • Type desired name (0999999A or 0999999AM for metric specs)
  • If preparing document in newer version of Microsoft Word, save as "Word 97" file type
  • Click save
  1. Click File/Print
